This position is based in a standard office environment, though remote working may be required due to COVID-19 or other circumstances. ConvaTec is transforming its business services, and has recently launched a new Shared Services Centre in Lisbon.
About the role:
You will provide administrative support for a Programme Team, as well as be the point of contact for all training administration for Lisbon. You could also be required to deliver some training or induction sessions from time to time.
Duties and Responsibilities
To ensure the successful running of all company inductions/technical training by owning and delivering the following;
Work with IT, Recruitment and HR to ensure technical and administration onboarding is complete.
Invites with training details and instructions are sent out to all participants well in advance.
Follow up to ensure new hires are clear how to log on for day 1 and resolve any issues in advance.
Work collaboratively with the trainers to ensure they are aware of the numbers attending each technical training course.
Book hotels/meeting rooms if required for induction/training sessions not run virtually.
Set up Teams/ online meeting rooms in preparation for induction or other trainings provided for GBS employees.
Order refreshments/lunch if needed.
Actively participate in some of the induction modules working closely with the Training Lead.
Follow up post the induction and technical training sessions with evaluation forms and ensure they are completed and sent back.
Share the induction & training feedback with key stakeholders.
Work closely with the GBS “Training Champions”, to ensure the relevant training is delivered and to track attendees for each course within the different departments.
To work closely with the ConvaTec Global Learning Centre of Excellence and be responsible for the roll out of any corporate training programs as required.
Comply with company regulations and legal requirements.
To be responsible for setting up PR’s and PO’s for all training spend.
To monitor and update the training delivery plan, in conjunction with Training Lead and programme trainers.
Good communication and facilitation skills.
Methodical, self-disciplined and with attention to detail

Pro-active and willing to take on additional tasks
Fluent English (mandatory B2)
2 – 3 years administrative experience
Previous experience in a similar training administrative role
Advanced PowerPoint skills
Good knowledge of all other Microsoft office packages
Experience with Microsoft Teams would be an advantage
Some experience of training delivery would be desirable
