Due to the constant growth of our services, we are now seeking exceptional individual for a hybrid role for one of our clients in Portugal, located in Albarraque / Rio de Mouro.

 

Scope

The Administrative Assistant plays a pivotal role in providing comprehensive support to senior leaders and teams within the organization. Responsibilities include managing calendars, coordinating meetings, handling correspondence, and ensuring the smooth operation of administrative tasks. Superior attention to detail, excellent communication skills, and a 'can-do' attitude are essential for success in this fast-paced and dynamic environment.
 

 

Job Responsibilities:

Administrative support to Technology Platform Engineering (T&PE) Organization:

  • Organizing T&PE and IT LT local events;
  • Support on on-boarding of new colleagues;
  • Expense tracking;
  • Software Licenses purchasing;
  • Support to Product License Specialist;
  • Support Contractor's hiring;
  • Support Workshops and Events;

 

IT Hub PT Support:

  • Organizing all IT Hub PT Events and Initiatives;
  • Internal and global visibility and feedback tracking about IT Hub PT Initiatives and Events;
  • Build and Implement IT Hub PT Comms Agenda;
  • Develop IT Hub PT Comms Channels: SharePoint, Yammer, Confluence and MS Teams;
  • Continuous Comms Channels update;
  • Support on Comms content design and capture;
  • Aggregate and eco important messages, events, and initiatives schedules;
  • Support the moderation and organization of remote and on-site events;
  • Support internal and external comms;
  • IT Hub PT Budget Tracking;
  • Interface with external and contracted companies;

 

Requirements:

  • English and Portuguese proficiency is mandatory.
  • At least 2-5 years of work experience in Administrative Assistant or similar role in a demanding and multitasking international environment.
  • Have good communication and interpersonal skills
  • Strong organizational skills and ability to prioritize multiple tasks with strong attention to details
  • Strong seniority proficiency in MS tools
  • Experience with organizing external events and working with external companies
  • Creative, autonomous, and pro-active attitude
  • Full availability for hybrid working model: at least 1 day from the office and 4 days from home.
